    Important things to think about when developing a Virtual Meeting or Streaming plan:


    There are 4 main topics when thinking about web streaming:

    1. Input (everything you need to create audio, video and content from a location).
    2. Output (everything you need to send live or recorded information on network or via the internet).
    3. Audience (who and how many you want to receive your content and when).
    4. Cost (items associated with 1, 2 & 3).

    Input:
    To make content to send out from your location can be as simple as a single built-in camera and microphone on a laptop, which is often the most cost effective solution, but the quality is generally low and you are typically only able to fit one person into the cameras view. However, you can add different components to your stream using basic software that resides on the laptop. This software allows you to deliver other content such as, sharing a view of your desktop or programs that you have on that computer, such as PowerPoint. You might even add an additional webcam or external microphone for additional production value. But anything beyond that and you will need to step up to a larger, more powerful and a more costly computer that includes an internal (or external) video capture card or device also referred to as an "encoder". These are typically a combination of USB, HDMI, and or SDI input devices, which add the possibility of small camcorders that are good for "Single Presenter" type shot, or possibly a Presenter and Guest "look or Style" using the cameras zoom ability. You might even step up further to a PTZ (Pan, Tilt, Zoom) camera or cameras which are able to capture everything from a single presenter up to a panel of presenters or an area such as a stage. But with added features, usually means adding things like a video switcher and an operator to control multiple devices which will can also dramatically increase costs. PTZ cameras often have internal video encoders, so the cost can be offset a little by not needing an additional encoder.

    Since the input is generally the most important part of your process, you must think about other aspects such as your set, which can be as simple as a table or desk and a chair, or a sitting area for multiple presenters, all the way up to a full stage. With each of these choices, except for the basic webcam, you must also include some sort of lighting. Lighting doesn't have to be fancy, but you do want to ensure that those watching your content are able to see what you need them to see. You might also consider a "Green Screen" which can enable you to create a virtual stage or area without needing extra space or props for aesthetics. If you choose to use a green screen, good lighting is essential.

    Output:
    Once you are able to produce content in format that you like, you will need to send that content out to your target Audience. To do that you can use a wireless connection for the basic internal webcam, or a network connection for a multiple webcams or camcorder streams, up to a dedicated internet connection specifically for streaming. Depending upon how often you stream and how long you want your stream to be... Typically the longer the stream, the more robust the connection needs to be to ensure your desired quality. How you get your content to your viewers is also important. You can use virtual meeting platforms/spaces like Zoom, HouseParty, etc.., or you can stream live directly to users via a streaming provider, or have recorded content for video on demand. You can use a combination of these to have the flexibly for small, more personalized meeting, to larger webinar style streaming events. You might even choose a prerecorded "session" style for shorter, topic based, informational or instructional messages.

    Audience:
    Now that you have your content, and your style of delivery methods, its important to think about how people will watch your event. Will you need to optimize for devices such as a computer, mobile device, or to an actual audience or multiple audiences scattered in various locations? Also, tracking the number of people who actually attend can be little more difficult. Each streaming provider you choose will have slightly different ways of tacking attendees, and most providers will only give you a number of viewers for a certain duration, mainly used to calculate costs. Some will give you metrics regarding general location, and others can give very specific info such as unique views via unique IP addresses along with start and end times. Virtual meetings providers make it a little easier by providing a dashboard which can give some pretty in=depth information regarding viewership, but again, these are mainly uses for billing purposes. There are other opportunities when engaging an audience, like incorporating audience polling software, or asking questions and requesting response via text or a chat app. however you choose to engage your audience is only limited by your imagination and budget.

    Cost:
    Virtual meetings, live and recorded meetings and the hardware and software needed to create, present and send video will always have costs associated with them. The amount is mainly driven two things, the quality you want to provide, and the amount of people you actually reach. There is another cost factor that is a little more fuzzy which is how you go about getting your viewers, but that is not typically what we deal with. The costs that are more easily defined are choosing a delivery method (virtual meeting, live stream, recorded content) a target quality (input devices, encoded devices, location and aesthetics), and knowing approximately how you want to deliver your message, and how many people will see it. The number of people who watch live or recorded content is important because: Virtual meetings are limited to a certain number and duration by the provider; Live and recorded meetings are billed by the number of people x the number of minutes watched = cost; Any "extras" you want to provide (audience participation; viewer tracking via website, registration, etc...; audience communication via text or chat)...
